How do I save a Sent Newsletter as a PDF file?

If you have a need to save an archived, already sent newsletter, here are a few options on how to turn the newsletter into a PDF file.

Microsoft Word document

You can copy the entire newsletter and paste it into a Microsoft Word document. You can do this by opening your newsletter and with your mouse, click and drag from the upper left to the lower right of your newsletter. Then right click and select copy.

Open a new Microsoft Word document, right click, select paste.

When you do this, the background color will be white, but you can edit this in your Word doc.

Keep in mind that if you have a long newsletter, the print out would be several printed pages long if all images are included.

Example of the procedure to save a document as a PDF using Word 2007:

Open Past Newsletter:

  • go to your website
  • click on Newsletter
  • click on Read Past Issues
  • click to open a newsletter
  • copy the newsletter

Paste to Word:

  • open a Word document and paste the text and images into the document
  • click on the Office button in the upper left corner
  • click Save As
  • slide down to PDF
  • type the name you want the PDF to be called
  • click Publish (lower right corner)

Outlook doesn't include PDF as one of the default Save As types. The Microsoft Print To PDF utility included in Windows 10 allows you to print any email message directly to a PDF. If you don't have Windows 10, you can save your email message as an HTML file, open that file in Word, and then use the Save As feature in Word to save the email as a PDF file.
